PayPal transactions, balances and invoices

Load your PayPal transactions, balances and invoices into Excel or the web app for bookkeeping and follow-up. Transactions and balances are read-only; invoices can be drafted, sent and cancelled from the sheet.

Export a period of transactions

  1. Insert a LinkyFlow query, choose paypal, then the query Transactions.
  2. Set Created after and Created before (ISO dates). PayPal serves at most 31 days per query; for a longer period, pick All results and LinkyFlow reads it in 31-day slices.
  3. Narrow with Status (S success, P pending, D denied, V reversed), Event code (for example T0006 for a payment, T1107 for a refund) or Currency.
  4. Run the query. Each row carries the gross amount, the fee (negative) and the payer — net is amount plus fee.

Read the balances

Choose the query Balances to load the total, available and withheld balance per currency, as of now or as of a moment you give in As of.

Follow disputes

Choose the query Disputes to list buyer disputes and chargebacks with their stage, state, reason, amount and the transaction they are about. Filter by State or by a Transaction ID.

Manage invoices

  1. Choose the query Invoices to list them with the recipient, the total and the amount still due.
  2. To create invoices, add rows with a currency, a recipient email, an item name and a unit amount — optionally a quantity, a tax percent, an invoice date and a payment term — and publish. PayPal creates drafts: nobody is billed yet.
  3. Open the Actions pane on a row: a draft offers Send Invoice and Delete Draft Invoice, a sent and unpaid invoice offers Cancel Invoice. Each row states which actions it allows right now, decided by the server from PayPal's own state.
